How the Tuffy Partner Portal works
Six steps: add your accounts, read a client's statement or bill, send an RFQ, compare proposals, present them under your company name, and track every renewal.
- Step 1
Add your accounts
Add a company by hand, scan business cards, or import a spreadsheet (CSV or Excel), including an export from HaloPSA, ConnectWise, Autotask, HubSpot, Pipedrive or Zoho. You check where each column goes before anything is imported, and an account's agreements can come in on the same rows.
- Step 2
Read a client's statement or bill
Add the PDF, or a photo of each page (up to 5). The portal shows the provider, the monthly charges by kind of service and the monthly total before taxes. Account numbers are removed before the charges are sorted and are never shown, and the statement is not kept. From there, fill an RFQ, add it as the client's agreement, or write a letter to the client.
- Step 3
Send an RFQ
Open the account, pick the service and answer a few questions. Or record the conversation with your client, and each need becomes its own RFQ to review. The portal asks for what a registration needs (the client's primary contact, phone, service address and number of locations) before it goes. Nothing is sent until you press Send, and a Tuffy advisor picks up to 3 vetted providers for each RFQ, or, in most categories, you name the providers you prefer.
- Step 4
Compare proposals
Providers send their proposals directly to you. Add them to the RFQ, or compare proposals the client already has, and see them side by side. Anything AI fills in is labeled "Filled in by AI. Please check."
- Step 5
Present them under your company name
Present to your client opens a printable page under your company name and logo, with your own recommendation. It shows what each proposal says, never ranks them, and never names Tuffy.
- Step 6
Track renewals
Every agreement keeps its end date. Choose when renewal notices start for each agreement, from 180 to 30 days out (90 unless you change it), add the dates to your calendar, and see a renewal with nothing started under Accounts that need attention on your Overview.
Your clients stay your clients
Your clients stay your clients. Tuffy Communications sees a client's contact information only when you include it in a Request for Quote (RFQ) you send us. We work that RFQ with you, and never contact your client directly unless you ask us to. Referral partners and real estate agents are the exception: Tuffy contacts the client directly and keeps you posted.
